Rental Details
All rental properties offered are subject to the following terms and conditions:
APPLICATION CRITERIA:
- Rental properties are offered to the public for leasing in compliance with all state and federal housing laws, including but not limited to, any federal and state laws and regulations prohibiting discrimination based on race, color, religion, sex, national origin, handicap, or familial status.
- We understand that some tenants may have credit issues. Our credit policy states that we work with tenants to find options and solutions that work for the Owner and the Tenant. For more information, please visit www.MaxfieldRents.com/qualify
- Most of our properties require that all applicant(s) combined gross income be at minimum 3x the monthly rent amount. For example, if the rent amount is $1,000 per month, all applicant(s) minimum combined income(s) of all applicants would need to be no less than $3,000. If you were wondering, that's gross wages (before taxes). In some situations, such as students, you may be asked to provide supplemental income sources or asset statements (including 401K, savings, etc.)
APPLICATION PROCESS AND FEES:
- To apply, please visit www.MaxfieldRents.com and click on the APPLY NOW button for the property you wish to apply for.
- Each applicant must pay a $45 non-refundable application fee.
- Application Fees are NON-REFUNDABLE.
- Applications are time-stamped and will be considered in the order received once all applicants have applied with all required information has been received.
- Applications are processed on a first-come, first-serve basis, and the property is offered to the first approved applicant.
- A $95 one-time Lease Initiation Fee per adult over 18 is due at lease signing. ($285 max)
- Fees are non-refundable.
- Deposits are refundable eligible and subject to the lease terms at Lease-End.
SECURITY DEPOSIT
Our Standard Security Deposit requirement is typically one month's Rent plus any recurring utilities billed through Landlord.
An additional Cash Security Deposit may be required for applicants not meeting our rental criteria. Visit www.maxfieldrents.com/qualification-guidelines for more information.
Instead of a Cash Security Deposit, some applicants may qualify for a Security Deposit Bond. A Security Deposit Bond is an insurance policy for an amount similar to a Cash Security Deposit for a one-time fee or a small monthly fee. Visit www.maxfieldrents.com/depositbond for more information.
TENANT MONTHLY RECURRING CHARGES
- Advertised Rent; plus
- All Utilities not covered by the Owner. Our advertisement will list which Utilities are included, if any. Utilities are in addition to Rent and billed by Utility or Landlord when the Utility cannot be placed in the name of the Tenant. Utility amounts will vary by property and by tenant usage. If you are curious about an average Utility amount, please get in touch with our office before applying; plus
- Community Fee, if applicable, as identified in the advertisement because these will vary from property to property. Not all properties have them, but many do. A Community Fee is a fee passed from the Owner to the Resident. These fees include bundled services and benefits and sometimes include common area maintenance, snow removal, high-speed internet, clubhouse access, pool access and maintenance, landscaping, water, sewer, trash removal, parking, and pest control services. Our advertisement will list which benefits are included as part of the Community Fee. The Community Fee is subject to change; plus,
- Resident Benefits Package (RBP) $19.50 to $39.50 per month depending on the Advertised Rent (visit https://www.maxfieldrents.com/resident-benefits for more information)
- Tenant Liability Insurance, tenants are required to maintain at least $100,000 of Liability Insurance where the Landlord is named an additional insured. If not, the Tenant will be named on the master policy of the Landlord for $9.50 per month plus a $3 administrative charge - a total of $12.50 per month.
NO RENEWAL FEES - EVER!
Maxfield Property Management never charges any renewal fees when tenants renew their Lease, and this is our way of saying thanks for being a great tenant.
SMOKING OR VAPING POLICY
Smoking and vaping are NOT allowed in or on the property. Occasionally some properties may allow smoking or vaping on the property but not inside the unit. This means that smoking and vaping could take place on the property as long as it's not within the unit itself. Both Landlord and Tenant must sign a smoking and vaping addendum with an additional deposit paid for the right to smoke or vape on the property.
PET POLICY
We understand that your pet is part of your family. Compliance with our pet policy, communication, and transparency is of the utmost importance. Pets are negotiable for all units unless prohibited by the Property Owner and/or governing body, such as an HOA.
Any approved pet(s) require all tenants to sign a pet agreement, pay a monthly pet fee, a non-refundable pet registration fee, and an increased security deposit. Maxfield Property Management reserves the right to deny any pet for any reason. You must let us know before substituting a pet or animal that was previously approved.
We use a third-party pet screening service that ALL APPLICANTS must create as part of their application process.
Applicants with no pet(s) will create a "no pet/animal profile."
Applicants with pet (s) will create an animal profile for each pet.
At least one of the Applicants should visit Maxfield.Petscreening.com during the application process to complete the application process. The application is only considered complete once the application and the pet screening are submitted online. Only one (1) of the Financially Responsible Applicants must submit the form; however, the applicant submitting the pet screening form should answer the questions based on all applicants applying.
If Small Pets Are Allowed:
- Small pet (s) will be considered with an additional deposit and monthly pet fee. Small pets are defined as pets under 35 lbs. Cats may be restricted, so please check each property advertisement for details;
If Larger Pet(s) Are Allowed:
- Larger Pets will be considered with an additional deposit and monthly pet fee. Large pets are defined as pets over 50 lbs. Farm animals are restricted and not allowed unless specifically outlined in the advertisement;
Authorized pets will be charged fees based on a FIDO Pet Score for each pet. The FIDO Score is an algorithmic number that measures the housing-related risk of each pet. Please visit https://www.maxfieldrents.com/pet-screening for more information.

Unauthorized pets or animals are a breach of our Lease and will be assessed a $1000 fine per incident.
SERVICE ANIMALS vs. PETS
Maxfield Property Management is happy to accept accommodation requests for both Service Animals and Emotional Support Animals (ESA). Service Animals or ESA are not considered pets, but not all pets are Service or Emotional Support Animals.
A Service Animal is individually trained to do work or perform tasks for the benefit of an individual with a disability, including a physical, sensory, psychiatric, intellectual, or other mental disability. Service Animals have been referred to also as support animals, guide animals, and hearing animals.
An Emotional Support Animal (ESA) is a companion animal that provides therapeutic benefit to an individual with a mental or psychiatric disability. The person seeking the emotional support animal must have a verifiable disability (sorry the reason cannot just be a need for companionship even though all of our pets are our companions).
Approved Service Animals and ESAs are not considered pets under the law. Maxfield Property Management DOES NOT charge Pet Fees or DOES NOT require an increased or additional deposit.

MATERIAL FALSIFICATION
Applicants who provide materially false information on the rental application shall be deemed to have materially and adversely breached the Lease Agreement, considered incurable, and subject to immediate eviction. Material falsification includes the following untrue or misleading information about:
- Number of occupants in the dwelling unit, pets, the income of the prospective Tenant, social security number, and current employment listed on the application.
- Tenant's criminal records, prior eviction history, and current criminal activity.
- Provided any supporting documentation that has been altered in any form.
All information is deemed reliable but is not guaranteed and subject to change without notice. Properties are offered through Maxfield Property Management. We Do Business According to the Fair Housing Law.
OCCUPANCY AND AVAILABILITY
Units advertised will be advertised with an availability date. Please see the property advertisement(s) for more information.
POSSIBLE NON-RENT EXPENSES
- Hold Deposit(s). Our current requirement is $1,000. In addition to any application fee, once you have delivered a Hold Deposit to our representative, the Hold Deposit will hold the property until a Lease can be generated, which takes anywhere from 12-48 hours. Once the Lease is sent out, you will have 24 hours to review the Lease. The Hold Deposit is not a security deposit; however, the Hold Deposit will be credited toward the required security deposit when all parties have signed the Lease Contract. If you fail to sign or attempt to withdraw or pay the additional monies, then Maxfield will retain, the Hold Deposit and any other monies as liquidated damages.
- Month to Month Fee: $50 or 10% of the monthly Rent if allowed under the terms of the Lease.
- Utilities Not Transferred Fee: $25 for each bill not transferred within seven (7) days of moving into the property.
- Rent Payment by ECheck: FREE
- Rent Payment by Physical Check: $25 check processing fee for each check. There is no check processing fee for the Initial Payment or Deposit.
- Rent Payment by Credit Card or Debit Card: A credit card processing fee of up to 3.5% for any rent payment made by credit card. A Debit Card processing fee of up to $10 for each payment made by a debit card. Fees are disclosed during checkout.
- Returned Check or Stop Payment Fee: $50 for each dishonored check or refused transaction.
- Lost or Replacement Check(s) Fee: $50 per check.
- Lease Modification Fee: $150 when the Lease is modified with Landlord consent from the original terms.
- Unclaimed Funds: If the Tenant fails to negotiate any check covering a refund of the deposit within six (6) months, Landlord may retain the remaining Security Deposit.
- Service and Legal Document Fee: $110 per notice delivered in person OR $50 per notice if delivered by electronic mail.
- CLASS A Lease Violation Fine: $500 per occurrence. Examples would be Smoking or Vaping, Unauthorized Visitors, Unauthorized Pets, or Unauthorized Fireplace use.
- CLASS B Lease Violation Fine: $250 per occurrence. Examples would be any Nuisance violation, Moving Truck, or Vehicle parked on landscaping.
- CLASS C Lease Violation Fine: Violation of any other Lease provision:
- 1st Violation$100
- 2nd Violation$200
- 3rd Violation$300
- HOA Violations and Fines: Any fines assessed by the HOA, if applicable, to the Owner on behalf of the actions by the Tenant. These are in addition to any Lease Violation Fines charged by the Landlord. These fees vary by community and can range from a warning to a maximum of $500.
- Missed Appointment Fee: $75 for missing an appointment with the Landlord or Landlord's agents/contractors.
- Re-Key Fee: $150 or actual cost(s) plus 1 hour of Landlord's time.
- Credit Check Update Fee: $35 for any update required at a Lease Renewal.
- Landlord Statement Request: $25 for a rental reference that requires staff's time to fill out a form or $50 for any mortgage verification form that requires a signature or tenant history statement. We report all history to credit reporting agencies at no charge. We provide monthly statements as a courtesy to Tenants that can be accessed 24/7 online.
- Court Costs, Attorney Fees, and Eviction Turnover Fee: In addition to attorney costs and court costs, an Eviction Turnover Fee of $750 will be charged for any account sent to our legal counsel. There is a $250 fee to withdraw said action.
- After Hours or Weekend Appointments Requested by Tenant: $75 or actual cost by the vendor.
- Yard Maintenance: When not provided by the Landlord, the actual cost plus the manager's time to arrange regular maintenance or one-time service. Weekly yard service ranges from $40-$90 per week. One-time clean-up can be $250-750+, depending on the yard size.
- Early Termination Fee(s): Provided the Tenant is not in default under the terms of the Lease at the time of notice, Tenant may terminate the lease agreement by providing no less than (1) 30 days notice and paying all monies due (Rent and costs) though the notice period; plus (2) paying a re-leasing fee not to exceed fifty percent (50%) of one (1) month's Rent; plus (3) paying an Early Termination Fee, the greater of, two (2) Month's Rent or $3,500 to Landlord.
